This policy explains what personal information Iris Tutoring Centre ("Iris Tutoring Centre", "we", "us") collects through our website and the Iris GATE Practice Portal, why we collect it, and how it's stored, used and protected. It applies to visitors to our marketing pages and to registered students and parents using the Practice Portal.
Contents
1. Information we collect
Depending on how you use our website and Practice Portal, we may collect:
- Account information โ your (or your parent/guardian's) name, email address, and student year level, provided when you register for the Iris GATE Practice Portal.
- Login codes โ we use one-time email codes (OTP) rather than passwords, so we never ask for or store a password for your Practice Portal account.
- Practice and exam activity โ answers, scores, timing and progress data from mock exams, the question bank and trainers, used to track progress and generate reports.
- Written responses โ text you submit in the Written Expression / writing sections of the Practice Portal.
- Payment information โ when you purchase a subscription, payment is processed directly by our payment provider, Stripe. We do not receive or store your full card number; we retain only what Stripe provides us for record-keeping, such as the subscription plan, billing status and transaction dates.
- Contact and enquiry information โ details you provide when booking a free assessment, emailing us, or messaging us through the site.
- Technical information โ IP address, browser type, device information and basic usage logs, collected automatically for security and to keep the service running reliably (for example, to detect and block abusive traffic).
2. Writing submissions and AI-assisted feedback
Tutor marking is anonymous. When a tutor marks a writing submission online, they see only the writing itself under a submission number โ never the student's name, email or other contact details. We automatically black out any email addresses, phone numbers and the student's own name that appear inside the writing before a tutor sees it. The student receives the tutor's comments and scores in their Practice Portal and by email.
Written Expression practice responses may be automatically scored using Anthropic's Claude API, in addition to review by our tutors. This means the text of a writing submission may be sent to Anthropic for the purpose of generating feedback and an indicative score. Anthropic processes this data as our service provider and does not use it to train their models under our commercial terms with them. We store the resulting feedback and score alongside your practice history so progress can be tracked over time.
3. How we use your information
We use the information above to: create and manage your account; deliver tutoring and the Practice Portal; mark and provide feedback on practice and mock exams; generate progress reports for parents; process payments and manage subscriptions; respond to enquiries and bookings; send service-related emails (such as login codes, receipts and progress updates); and maintain the security and reliability of our systems. We do not sell personal information to third parties, and we do not use student practice data for advertising.
4. Who we share information with
We share information only where needed to run the service, with the following categories of service providers, each bound to use the information only for the purpose we engage them for:
- Stripe โ payment processing for subscriptions.
- Anthropic โ AI-assisted scoring of writing submissions (see above).
- Railway โ our cloud hosting provider, which runs our application servers and database.
- Our email delivery provider โ used to send login codes, receipts and notifications.
- Discord โ if you choose to join one of our optional community hubs (for example the ATAR Discord Hub), your interactions there are also governed by Discord's own privacy policy and terms.
We do not otherwise share personal information with third parties, except where required by law (for example, in response to a valid legal request) or to protect the rights, safety or property of Iris Tutoring Centre, our students, or the public.
5. Cookies and local storage
The Practice Portal uses browser storage (such as session and local storage) to keep you signed in and to remember basic preferences. We do not currently use third-party advertising cookies or cross-site tracking.
6. How we protect your information
We use industry-standard measures to protect your information, including encrypted connections (HTTPS), one-time login codes instead of stored passwords, and access controls on our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we work to protect your information and to respond quickly if an issue is identified.
7. Data retention
We retain account and practice data for as long as your account is active, and for a reasonable period afterwards to allow you to resume tutoring, respond to support requests, and meet our own record-keeping and legal obligations (for example, financial records relating to payments). If you'd like your account and associated data deleted sooner, contact us using the details below and we will action this, subject to any records we are required to keep by law.
8. Children's information
Our Practice Portal is used by school-aged students, typically under the supervision of a parent or guardian who registers the account. We collect only the information reasonably needed to deliver tutoring and track progress, and we rely on the registering parent or guardian to have authority to provide that information on the student's behalf. Parents and guardians can contact us at any time to review, correct, or request deletion of their child's information.
9. Your rights and choices
You can ask us to access, correct, or delete the personal information we hold about you or your child, and you can ask us questions about how it's used. To do so, contact us using the details below. We'll respond as quickly as we reasonably can.
